HubSpot MCP Connector – Contacts, Deals and Pipeline in Plain English

HubSpot knows whether marketing worked. It holds the contacts the campaigns created, the deals they turned into, and the revenue attached. But between a marketer and that answer sits list-building, filter menus, and the report builder everyone uses six times and then avoids.

The HubSpot connector removes the middle. It links the AI you already use, like Claude, ChatGPT, or Copilot, to your HubSpot portal through Mad Fish Elements, with typed CRM operations for contacts, companies, deals, tickets, products, and quotes, full search, associations, pipelines, and owners, plus a complete REST passthrough for everything else. Ask the CRM what happened. Update it when you are the one who knows.

See it

What Your AI Can See

Connect your portal, and your AI reads the CRM the way your team thinks about it: contacts and the companies they belong to, deals and their pipeline stages, tickets and their owners, and the associations tying it all together. Search reaches across objects, so "find contacts from the webinar who work at companies over 200 employees" is a sentence, not a saved-filter safari.

The marketing questions get direct answers. "How many contacts did the spring campaign create, and how many turned into deals?" walks the associations for you. "Which deals in the pipeline started from paid search?" joins the CRM's memory to the channel question. And because the same Gateway reads Google Ads, Meta, and GA4 live, spend-to-pipeline stops being a quarterly analytics project and becomes a Tuesday question.

Do it

What Your AI Can Do

With Write access and your approval, your AI maintains the CRM as well as reading it:

Object CRUD across the core

Create and update contacts, companies, deals, tickets, products, line items, and quotes, with every change shown before it ships.

Hygiene at scale

Find the duplicates, the contacts missing owners, the deals stuck in a stage past their close date, and fix the batch you approve.

Associations kept true

Connect contacts to companies and deals correctly, so attribution walks a graph that actually holds.

Everything else via passthrough

Lists, forms, marketing endpoints, and any other HubSpot API surface route through the full REST passthrough, so the portal's whole capability is in reach, governed by the same permissions.

A working session

The Attribution Question, Finally Cheap

In practiceThe session that pays for this page: the CMO asks what the paid budget produced last quarter. You ask, "Contacts created last quarter with original source paid, and the deals associated to them, with amounts by pipeline stage." Your AI searches, walks the associations, and returns the funnel: contacts, deals, and dollars, stage by stage. You ask, "Which campaigns do those contacts trace to?" It breaks the answer down. Then the other side of the loop, same chat: "What did we spend on those campaigns?" pulls live from Google Ads and Meta. Spend on one line, pipeline on the next. The question that used to book a meeting got answered inside one.

Live answers and approved work stay tied to the connected account and audit trail.

Use cases

One Conversation, Real Account Work

"How many contacts did the spring campaign create, and how many became deals?"
HubSpot

The campaign-to-pipeline answer, walked through real associations.

"Find deals over $10K stuck in the same stage for 30+ days, with owners."
HubSpot

The stuck-deal report sales leaders ask for weekly.

"Which contacts from last month have no owner assigned? Assign them round-robin to the SDR team."
HubSpot

The hygiene fix, shown as a batch and shipped on approval.

"Compare Q3 ad spend to the pipeline it created."
HubSpot · Google Ads · Meta

Spend beside pipeline, live on both sides, in one pass.

"Create a deal for the Acme expansion at $24K in the enterprise pipeline, associated to their company record."
HubSpot

The record created correctly the first time, associations included.

For in-house teams

Close the expectation gap

Marketing finally reads the same truth sales lives in, without learning the report builder. The attribution question, the list question, and the hygiene chore all become sentences, and the CRM gets cleaner because cleaning it got cheap.

For marketing teams
For agencies

Run the whole book

Client HubSpot portals hold the proof your work worked. Read them under per-client permission walls, put pipeline beside the spend you manage, and hand clients reporting their own team can verify in their own portal.

For agencies
Reports worth sharing

From Live Account to Clear Story

Ask in chat and share the dashboard without building exports or taking screenshots.

Campaign-to-Pipeline Funnel

Contacts, deals, and amounts by source and campaign. Built for the budget meeting.

Pipeline Health Board

Deals by stage, age, and owner, stuck ones flagged. Built for the weekly revenue call.

CRM Hygiene Report

Duplicates, missing owners, broken associations. Built for the monthly cleanup.

The charts do the talking: funnel for stage conversion, bar for source comparison, table-first for the record-level detail. And when your leaders or clients want these anytime, the Data Visualization add-on turns your reports into always-current dashboards they open from a link. Ask in chat; share the dashboard.

The useful signals

The Numbers That Matter

The CRM's story compresses into a few figures. Contacts created by source and campaign: the top of the funnel, attributed. Contact-to-deal rate: whether marketing's volume becomes sales' pipeline. Pipeline value by stage: the number leadership actually asks about. Deal age by stage: where momentum dies, deal by deal. And the hygiene pair that keeps it all honest: unowned contacts and stuck deals. The reading habit is weekly for pipeline health and monthly for the campaign-to-pipeline funnel. Marketing reads the same figures sales lives in, from the same portal, and the argument about whose numbers are right simply ends. That is most of the value, and it costs a scheduled question.

A practical start

Your First Week

Day one: connect the portal and ask the question you always wanted answered. "Contacts created last month, by source." Day two: walk one campaign to money. "How many of those became deals, and at what amounts?" Verify a couple of records in HubSpot to build trust. Day three: run the hygiene sweep. "Contacts with no owner; deals stuck past their close date." Fix the clean batch on approval. Day four: close the loop. "Put last quarter's ad spend next to the pipeline it created." Save that answer; it is the budget meeting now. Day five: schedule the rhythm. "Mondays, send the pipeline health board; monthly, the campaign-to-pipeline funnel." By Friday, marketing reads the same truth sales lives in, the CRM is cleaner than it was Monday, and the attribution question costs a sentence instead of a meeting.

Works best with

Build the Connected View

Pair HubSpot with Google Ads and Meta for spend-to-pipeline in one pass. Add Mailchimp or Mautic where email runs outside the portal, so contact truth stays whole. The CRM is where the other connectors' work gets judged; keep the judge in the room.

Clear limits

What This Connector Will Not Do

It will not email your contacts or run your sequences; it manages records and answers questions, and outreach stays in the tools built for it. It will not write without approval, and every change lands in the audit trail with a name. It will not invent attribution; when the associations do not support a claim, it says what the data can and cannot show. And it will not reach portals you did not connect.

Governance

Governed Access Your Whole Org Can Live With

Access is set per person, not per account, so Read seats see everything and change nothing while Write seats create and edit with your approval flow in front of every change. Delete access goes only to people you trust to clean up, and many teams start read-only, check answers against the platform, then widen access as the audit trail earns it.

You choose the level of human review and can change it at any time, while every action records what changed, when, and who approved it. Per-user access means Elements never stores your HubSpot password, and your data is never harvested or resold.

FAQ

HubSpot Connector Questions

Does it respect our HubSpot permissions?

It works through the credentials your tenant connects, and Elements adds per-person Read, Write, and Delete on top. Your marketers can ask everything and change nothing until you decide otherwise.

Can it handle custom objects and properties?

The typed operations cover the core objects, and the full REST passthrough reaches the rest of the portal's API surface, custom objects included, under the same governance.

Will it mess up our data?

Every write is shown first, batches are approved as batches, and the audit trail records it all. The hygiene features exist because the connector's job is making the CRM more trustworthy, not less.

Will my AI change things without asking me?

No. Your AI acts only with the permissions you set, and changes follow the review level you choose. Read-only seats cannot change anything, because the approval flow is the product working as designed.

Which AI assistants can our team use?

Your team can use Claude, ChatGPT, and Microsoft Copilot, while other AI tools can likely connect when they support MCP, the open standard for linking AI assistants to outside tools.

Is my data used to train anything?

No. Your data stays yours, so nothing is harvested and nothing is resold.

Focus on the Strategy, Delegate the Launch

The teams winning with AI are not handing their accounts to a black box; they keep the strategy and delegate the hands-on-keyboard work, while approvals and an audit trail make it safe to move fast. Connect the account you already have through the Gateway and ask the question you would normally build a report to answer.
